This Policy is intended to inform you of the measures we take to protect your personal information and the ways in which we collect, use, disclose and retain your information in order to provide you with the products and services you select.
To whom does this Policy apply?
This Policy applies to all individuals who place an order with us for a personal cheque product or service.
What information is covered?
This Policy applies to personal information that D+H collects, uses and discloses in order to provide you with a personal cheque product or service. Personal information is any information that can identify an individual or information about an identifiable individual, such as your home address, telephone number or account number.
This Policy does not apply to aggregate information, which is summarized statistical information about groups of individuals and which does not include name or any other information that would allow any particular individual to be identified.
Who is accountable for your personal information?
We are accountable for all information under our control or provided to us by our financial institution and software publisher clients, including any information transferred to third party service providers for the purpose of providing the personal cheque products or services that we provide. When using third party service providers, we use contractual and other safeguards to provide a level of protection comparable to those we apply ourselves.
We have a dedicated Privacy Office, headed by our Chief Privacy Officer who is accountable for guiding our compliance with the principles set out in this Policy.
How do we collect your personal information?
We have been authorized by your financial institution or software publisher to collect your personal information either directly from you or from your financial institution when you place an order for a personal cheque product or service.
We collect identity, contact and account information, as well as information relating to your usage of our products and services and your interaction with us through our websites in order to provide you with the products and service you select. For example, we may collect the following personal information about you:
- We may collect some or all of the following personal information to add personalization to your cheque order, deliver your order to you, bill you for your order and communicate with you:
- telephone number (optional)
- email address (optional)
- bank account number
- We may collect your personal information by monitoring or recording telephone calls we have with you for the purposes of establishing a record of the information you provide, to ensure that instructions are properly followed, and to ensure appropriate service levels are maintained. We will inform you of the possibility that your call is being monitored or recorded prior to proceeding with the call. If you prefer not to have your call recorded, you may conduct your transaction online (where available).
- We may retain any personal information we have collected for a period of up to seven years. This information is retained solely for the purpose of facilitating re-orders and managing inquiries relating to your order.
How do we use your personal information?
We use your personal information to provide you with the personal cheque products and services you have selected and to enhance your experience, including sending you more relevant offers about benefits, products and services under the chequing program. In doing so, we may collect, use and disclose your personal information for a number of purposes:
- To contact and communicate with you to verify your identity or to address customer service matters including addressing any questions you may have about your personal cheque products or services.
- To better understand your preferences, needs, interests and usage in order to develop, enhance and provide personal cheque products and services that best meet your expectations and to measure the success of various program features.
- To provide contact centre and marketing services.
- For quality assurance and record keeping purposes, such as monitoring or recording telephone discussions with our representatives for quality assurance purposes.
- In the case of a corporate reorganization, merger, amalgamation or sale of all or part of our business or assets, to enable potential new buyers to evaluate the business.
- To protect our interests, or as required by applicable laws, such as program fraud detection or where required by a court order.
With whom do we share your personal information?
We will not disclose your personal information for any purpose other than as stated in this Policy without your prior consent.
In some cases, we may use third party service providers to assist in providing you with the personal cheque product or service you have requested and you agree that we may share information about you with them for the purpose of facilitating your requests. For example, for the purpose of verifying your order information and confirming the authenticity of your order, we may provide your personal information to your financial institution or use a third party authentication service provider. Some of our service providers may be located outside of Canada, may be bound by the laws of the jurisdiction in which they are located, and may be required to disclose your personal information in accordance with those laws.
When we use third party service providers to provide specific products or services, they are given only the personal information required to provide those products or services and are prohibited from storing, analyzing or using any information provided for any other purpose. Our third party service providers are contractually obligated to protect your personal information in a manner that is consistent with this Policy.
If we disclose your personal information in connection with a corporate reorganization, merger or amalgamation, use of that personal information will continue to be governed by this Policy.
What are your choices when it comes to the handling of your personal information?
At any time, you may withdraw your consent to further collection, use or disclosure of personal information by giving us reasonable notice. Please note that withdrawing your consent may affect our ability to provide you with our products, services or information. We will act on your instructions as quickly as possible. How do we protect your personal information?
We have adopted industry standard security measures in an effort to protect your personal information from loss, misuse or alteration while it is under our control. We use reasonable technical, contractual, administrative and physical measures to protect against unauthorized access.
Personal information transmitted to us online from our ordering websites is encrypted using the Secure Sockets Layer (SSL) security protocol that encrypts all information prior to transmitting it over the Internet.

Privacy and Cookies
A cookie is a small file stored on your computer that contains pieces of information created by a web server when you visit a website. The file typically contains encoded information about how and when you use the website.
D+H uses only session cookies. Session cookies store information only for the length of time you are connected to a website. When you leave the website, session cookies expire and we no longer have the information that was contained in the cookie. They are used to track the pages that you visited within our website to diagnose any problems that may occur and to better understand website usage in order to improve site design and layout.
You can choose not to accept cookies by setting your browser options to either inform you when cookies are being sent or to deny cookies altogether. However, in order to use our web-based ordering services, session cookies need to be enabled on your web browser. If you disable cookies, you may not be able to use such services.
How can you access and update to your personal information?
You may update, review or correct your personal information held by us at any time either online when placing an order for personal cheque products or services, by contacting your financial institution or software publisher, or by contacting our Chief Privacy Officer (see “Contact Us” below).
You acknowledge that we may amend this Policy from time to time, without notice, to take into consideration changes in legislation or changes to our products or services.
If this Policy changes materially at any time, we will post the revised Policy on our website and through our ordering applications available through online banking with your financial institution. We may also send it to you by mail at your request. Your continued access and use of our products or services after the effective date of any changes to this Policy constitutes your acceptance of all changes.
